ShiftiAI Privacy Policy

Last updated: 23 August 2026

ShiftiAI respects your privacy. This Privacy Policy explains what information we collect, how we use it, and how we protect it when you use our website, free trial, web application, and AI-assisted scheduling services.

This is the same Privacy Policy as on the ShiftiAI application at my.shiftiai.com/privacy.

1. What ShiftiAI Does

ShiftiAI is an AI-assisted workforce scheduling platform. We help businesses create shift schedule recommendations based on staff availability, roles, skills, certifications, preferences, seniority, and scheduling requirements.

ShiftiAI provides recommendations only. Final schedules must always be reviewed and approved by the customer.

2. Information We Collect

We may collect the following types of information:

Customer and account information — such as company name, contact person, work email, phone number, job title, login details, and communications with us.

Employee scheduling data — customers may upload employee-related data such as name or ID, email, role, department, skills, certifications, availability, shift preferences, requested days off, seniority, location, gender where lawful, salary or overtime information, scheduling history, and absence or sick leave information.

Usage and technical data — such as IP address, browser type, device information, login activity, pages used, error logs, and security logs.

Customers should only upload data that is necessary for workforce scheduling.

3. How We Use Information

We use personal information to:

  • provide the ShiftiAI platform;
  • create AI-assisted schedule recommendations;
  • manage free trials and customer accounts;
  • improve scheduling quality and platform performance;
  • provide onboarding and support;
  • protect security and prevent misuse;
  • communicate with customers;
  • comply with legal obligations.

We do not sell personal information.

4. Customer Responsibility

In most cases, ShiftiAI’s customer is responsible for the employee data uploaded to the platform.

The customer is responsible for:

  • informing employees that ShiftiAI may be used for scheduling;
  • having the legal right to upload employee data;
  • making sure the data is accurate and necessary;
  • reviewing AI-generated recommendations;
  • making final scheduling decisions.

ShiftiAI does not directly employ, manage, hire, dismiss, or control the customer’s employees.

5. AI-Assisted Scheduling

ShiftiAI uses AI and optimization methods to generate shift schedule recommendations.

ShiftiAI does not make final employment decisions and does not automatically assign employees to shifts without customer review.

Customers must review all recommendations before publishing or using schedules in real operations.

6. Data Sharing

We may share information with trusted service providers when needed to operate ShiftiAI, such as cloud hosting, security, database, customer support, communication, or payment providers.

ShiftiAI currently plans to use Amazon Web Services (AWS) for hosting and infrastructure.

We do not sell customer or employee data.

7. Data Retention

If a customer uses the free trial and does not upgrade to a paid plan, ShiftiAI will delete or anonymize customer data within 30 days after the trial ends, unless a longer period is required by law, security, or dispute resolution.

If the customer upgrades to a paid plan, we keep the data as long as needed to provide the service.

8. Data Security

We use reasonable technical and organizational measures to protect personal information, including access controls, secure cloud infrastructure, monitoring, backups, and limited internal access.

No system is completely secure, so customers are also responsible for protecting their accounts, passwords, devices, and user permissions.

9. Privacy Rights

Depending on applicable law, individuals may have rights to access, correct, delete, or restrict the use of their personal information.

For employee data uploaded by a customer, employees should usually contact their employer first, because the employer controls the data and makes final scheduling decisions.

10. Updates to This Policy

We may update this Privacy Policy from time to time. The latest version will always be available on our website.
